AI and RPA: Three Real-World Examples of Artificial Intelligence in Business

Artificial intelligence has been a major technological trend in recent years. Here’s how businesses can rapidly integrate AI into their processes and achieve tangible results

Businesses often leverage artificial intelligence in marketing to create text, videos, images, and avatars. However, we want to share how AI can be applied to routine back-office processes and sales—the backbone of any business. Roles like accountants, lawyers, treasurers, IT specialists, and salespeople often lack popular AI tools tailored to their needs. That’s why we’re here to show you how you can “hire” a digital employee in just one month to handle routine business tasks.

All the cases we’ll discuss involve *RPA — our Python RPA product. Our clients enhance it with artificial intelligence, achieving impressive financial outcomes and boosting employee satisfaction.

Robotic Process Automation (RPA) is a technology designed to automate tasks typically performed by people on a computer. Software robots take over these tasks, completing them quickly and accurately, which saves both time and money. From generating reports and verifying data to searching for information and digitizing data, RPA can automate a wide range of routine processes.

RPA + OCR

OCR (Optical Character Recognition) is a tool that converts text from paper documents into digital format. Manually entering data from paper documents into accounting systems is a time-consuming and tedious process, often prone to errors. With OCR and RPA, these tasks are completed quickly and accurately.

Here’s how it works:

    1. An employee scans the documents and initiates OCR.
    2. The paper text is extracted, recognized, and converted into a digital format.
    3. The RPA bot transfers the data to the accounting system.

This process is fast, precise, and error-free. The integration of RPA and OCR is widely used by our clients. For example, Otbasy Bank processes client document packages using this approach, the State Archive of Astana digitizes paper records, and accountants at a large manufacturing plant handle accounting entries this way. This combination saves hundreds of working hours, minimizes errors, and enhances employee efficiency and satisfaction.

RPA + ML

A notable example is the integration of Machine Learning into the workflow of a software robot. The platform supports Python AI frameworks, and our BI Group customers take full advantage of this capability. In one process, an ML model assists the software robot in entering payment documents into the accounting system. If the contract number is incorrectly specified in the payment order and cannot be found in the internal system, the ML model identifies the closest matching contract number and attaches the payment document to it. This enables robots to become “smarter” and handle complex tasks without human intervention.

This solution can be implemented by a third-year IT student with Python knowledge. It’s easy to implement, enhances employee satisfaction, and saves significant labor hours — an excellent result of combining RPA and ML.

RPA + GPT

One of our customers successfully utilizes the combination of RPA and GPT for managing email inquiries. Every day, a large number of requests are sent to the general email address listed on their website. The software robot extracts key information from these emails, such as the subject and keywords, and sends it to GPT for analysis. GPT then classifies the email’s content, and the RPA bot forwards it to the appropriate department or directly to the responsible employee. This approach significantly speeds up response times and enhances customer service.

The integration of RPA and AI holds immense potential. Together, they empower bots with advanced capabilities, effectively creating a digital employee for the business. If you’re looking for fast and cost-effective automation solutions, the Python RPA team is here to help!
